The challenge

Dispatchers were drowning in customer-status emails (90+/day per person). Leadership wanted AI help, but legal flagged the AI Act and GDPR risks of feeding shipment + recipient data into public chatbots.

The approach

They built a 3-layer setup: (1) EU-hosted Mistral Le Chat for drafting, (2) a redaction step that strips names/addresses before any prompt, (3) a 30-second human review before sending. Each use case was classified Banned/High/Limited/Minimal in a public register.

The result

Email handling time dropped 58%. Zero AI Act incidents in the first audit. Three more use cases (invoice triage, internal FAQ, multilingual support) were rolled out using the same template.

What you can take away

AI Act compliance isn't a blocker — it's a checklist. One classified use case + one EU-hosted tool + one human review = a defensible, scalable pattern.
